Renewal cycle

How a renewal season moves through our desk

This page maps the practical rhythm of insurance broker reporting and policy renewal analytics when you commission a pack with us — so your coordinator knows when to send extracts and when to expect drafts.

Planner and notes used to track a renewal calendar

Why the cycle matters

Renewal weeks fail when extracts, producer notes, and client summaries travel on different clocks. We keep one shared sequence so your desk is never waiting on a surprise draft the night before a client call.

1 · Lock the window

Agree the due month, book segment, language needs, and who signs off wording. Deposit holds the slot.

2 · Extract intake

You send policy extracts. We check renewal dates, premiums, insurers, and producer codes, then return a gap list within two business days.

3 · Reconciliation

We align the schedule with your calendar and build the lapse watchlist. Odd endorsements are flagged for your confirmation.

4 · Draft pack

Client summaries and the internal workbook arrive for producer markup. One structured revision round is included.

5 · Briefing & handoff

Coordinator briefing covers the schedule, watchlist, and talking points. Final files transfer to your shared folder.
